Job Description

Wellington Free Ambulance (WFA) is looking for an EA Superstar to join our team. In this role, you will provide high-level executive support to both the General Manager, People and Enabling Services and the General Manager, Fundraising and Communications.

What You’ll Be Doing:

  • Managing diaries, emails, and preparing briefing notes ahead of meetings
  • Coordinating meetings, including Board reports, agendas, minutes, and action lists
  • Supporting the delivery of performance reports to funders
  • Providing backup administrative support to other EAs and reception when required
  • Assisting the General Managers’ leadership teams with various administrative tasks

Desired Skills and Experience

Who we are looking for

To excel in this role, you’ll need to have a keen ability to anticipate needs and stay one step ahead. With General Managers often in back-to-back meetings, your organisational and preparation skills will be crucial in ensuring they are always set up for success. Effective time management and proactive planning will be key strengths in this role.

In addition, you will bring:

  • Proven experience as an Executive Assistant supporting senior leadership
  • A motivated, highly organised, and pragmatic approach with a strong sense of initiative
  • A commitment to delivering a high standard of service
  • The ability to stay calm under pressure and confidently engage with a diverse range of stakeholders
  • Strong skills in reporting and presentation preparation
  • The ability to build rapport and develop relationships at all levels of an organisation
