Are you a detail-oriented administrator with excellent organisational and time management skills? Do you thrive in a fast-paced environment where you can manage multiple priorities and meet deadlines? We’re looking for a Reception / Administration Assistant to join our team! In this role, you’ll provide vital reception and administrative support to the WFA Head Office, as well as to the Executive Assistants (EAs) and the Property Services Team.
About the role
The role provides essential reception and administrative support to the WFA Head Office, Executive Assistants (EAs), and the Property Services Team, playing a vital part in ensuring the efficient operation of daily activities. This role involves managing the front desk, coordinating facilities requests, responding to enquiries, maintaining office systems, and supporting both staff and visitors to promote a well-organised and welcoming environment.
Key responsibilities include:
- Delivering front-of-house services including phone management, greeting visitors, handling mail, and managing courier deliveries.
- Provide general administrative support to EAs, senior managers, and the Property Services Team.
- Maintain and coordinate office systems such as records management, information requests, and filing.
- Coordinate facilities-related tasks, such as key/access management, contractor bookings, and minor procurement or uniform distribution.
- Ensure supplies, equipment, and meeting spaces are maintained and available as required.
You will have
- Strong organisational and time management skills with the ability to handle multiple priorities and meet deadlines.
- Proactive, self-motivated, and capable of working independently with initiative.
- Proven experience in:
- Managing front desk or reception services.
- Handling internal/external enquiries and office systems.
- Delivering high-level customer service.
- Excellent written and oral communication skills, with the ability to draft correspondence, reports, and documents clearly.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- High attention to detail and accuracy in all tasks.
- A collaborative, approachable, and professional working style.
