Rosters Administrator – 12 Month Secondment/Fixed Term

This is a great opportunity to utilize your broad business support/administrator experience and work in an organisation that makes a difference in our community.

About us

Wellington Free Ambulance’s vision is to be a trusted and reliable ambulance service that provides excellence in emergency response and connected services to move our communities to better health.

We’re the only emergency ambulance service for Greater Wellington and Wairarapa, and the high-quality care that our people deliver every day.  As well as providing emergency ambulance services, we provide a Patient Transfer Service that transports patients to and from scheduled healthcare appointments, a Clinical Communications Centre answering 111 calls, and medical support at community, sporting and festival events. We also teach our communities lifesaving CPR skills through The Lloyd Morrison Foundation Heartbeat Programme.

Wellington Free Ambulance has a close-knit feel due to the specific region we serve.  Our area stretches from Cook Strait in the south to just north of Waikanae around Peka Peka on the Kāpiti Coast, and as far north as Mt Bruce in the Wairarapa. Around 500,000 people live in the communities we serve, and we do all this for free, with no cost to the people we transport. When you join Wellington Free Ambulance, you become part of our whānau and can make a real difference in our communities.

Wellington Free Ambulance is committed to an inclusive workplace that values equity, diversity and different ways of thinking. We believe this creates a stronger organisation and helps us better serve the Wellington region.

Job Description

About the role

Our Rosters Administrators make a real difference in the work we do here at Wellington Free Ambulance, helping keep the organisation running on a day-to-day basis. The Rostering team supports our operational staff by making sure the right people are rostered in the right places, at the right time, with the right mix of skills and qualifications.

This role provides rostering coverage for all service delivery areas. You will also help coordinate the internal and external training requirements, including tertiary student placements, from New Zealand and overseas.

This is a people role based around creating and maintaining rosters for all our business units, day to day changes to the roster to meet base fleet requirements, adjustments for planned and unplanned leave, meeting qualifications mix requirements and dealing with unforeseen impacts to the roster. Rostering can sometimes feel like solving a puzzle.  You will need to learn a number of shift patterns and fleet structures, use our software and support systems to reflect the reality of the road teams, work closely with shift leadership and operational teams to achieve the desired outcomes.

Building good working relationships is an important part of the role. You will work with people across Wellington Free Ambulance to understand their needs and provide them with a high level of service and support.

This is a fast moving and challenging role but can be hugely rewarding.  The work you do directly supports our people and helps Wellington Free Ambulance deliver its services to your community, friends and whānau.

What we can offer

You will be part of our wider Payroll and Rostering team, giving you the opportunity to build your experience across both areas. The role will challenge and develop your problem-solving and logical-thinking skills as you create, adjust and publish rosters (which are then used by Payroll to pay our people) and work with teams across the organisation to keep them accurate. You will also be part of a passionate, supportive and hardworking team that helps Wellington Free Ambulance deliver lifesaving services across the region.

Desired Skills and Experience

We are looking for someone who has:

  • The ability to learn new systems quickly
  • Good process improvement skills
  • Strong analytical skills and confidence working with data and information
  • Experience in work where accuracy and attention to detail are important
  • Good Microsoft Office skills
  • Experience with rostering, logistics, shift work or collective employment agreements would be an advantage.

Ideally, you will have worked in a similar position in a 24/7 operational workplace, but most importantly you will have a strong eye for detail and an eagerness to learn plus be comfortable working in a busy and changeable environment.

Applications close – 15 October 2026
